Job Posting: HR/Accounting/Legal Administrative Assistant

We are currently seeking an enthusiastic and motivated HR/Accounting/Legal Administrative Assistant.

As a multifunctional Administrative Assistant, you will be supporting the business activities of the executive management team and must be able to initiate and complete projects with accuracy and within deadlines in a fast-paced environment. Someone who is proactive, organized, and enjoys planning and anticipating the needs of the business would thrive in this role.

Responsibilities Include, But are Not Limited To

  • Perform a variety of support tasks associated with HR and payroll operations. On board new employees. Support talent recruitment processes. Process wage and salary payments, audit time entries, and schedule garnishment payments. Calculate and process special checks, file unemployment forms, process new hire paperwork, and create summary reports for management. Utilize automated time and attendance software and programs in day-to-day operations. Handle general inquiries regarding payroll, benefits, and time/attendance.
  • Perform multiple accounting support functions, such as compiling, sorting, and preparing documents and reports, issuing bills and invoices, calculating and verifying debit and credit amounts, and posting transactions to appropriate accounts. Ensure the appropriate filing and maintenance of accounting records. Input data into financial systems and reconcile reports. Create and produce reports and assist accountants on special projects as necessary.
  • Perform administrative duties for the legal department, such as organizing and maintaining corporate books and records, assisting with governance and insurance related matters, producing and managing routine legal/shareholder correspondence and handling other projects that may arise in the legal department from time to time.
  • Offer suggestions, advice and solutions regarding office policies and procedures.

Minimum Qualifications

  • High School Diploma required; Associate’s or Bachelor’s degree preferred
  • 2 - 5 plus years administrative support experience in a professional office environment with a focus on supporting a management team
  • Strong proficiency in Microsoft Office Suite (Microsoft Word, Excel, PowerPoint, Outlook)
  • Professional attitude and positive work ethic
  • Ability to work with little supervision and achieve superior results
  • Strong attention to detail and accuracy
  • Excellent organizational skills with ability to multi-task and prioritize to meet short deadlines
  • Self-motivated and willingness to work as a team in a fast-paced environment
  • Strong written and verbal communication required
